HOW TO USE KEYBOARD SHORTCUTS

With these shortcuts you can quickly and easily

1. speed up your typing 

2. save energy and effort

3. spend less time scrolling up and down to find things

You will be able to use these hot tips when making Word documents, working with your Email and in other computer programmes. 

 

Here are a Few Handy Shortcuts to Start with.

OPEN AN EXISTING WORD DOCUMENT

At the top of this document you will see a small blinking line.  

This is the "active" cursor.  

Now use the arrow keys to move the cursor along the text.  

The tips on this page will show you other ways to move the cursor.   

HOME

cursor moves to start of line

END

cursor moves to end of line

Shift+Home

text highlights from that point to start of line. Press Delete to delete. Ctrl-Z to undo delete.

Shift+End

text highlights from that point to end of line. Press Delete to delet. Ctrl-Z to undo delete.

To scroll down or up through lines or paragraphs of text to highlight the text, you can hold down the Shift key and use the up or down Arrow. But be careful, this sometimes runs away too far. If this happens just click an Arrow key to remove the highlighting and try again more slowly and carefully.

Keyboard Shortcuts 3

Open a New Document, then:

Type some words or phrases using the following Keyboard Shortcuts to emphasise some of your words following the methods given below. You probably know this first one.

For a word or words in all Capitals, push down the Caps Lock Key to turn that ON,

type the word or words; push down the Caps Lock Key again to turn that OFF.

Instead of moving your hand and arm to click the mouse on the toolbar to activate Bold, Italics, Underline try the following method.

 Example:

Hold Ctrl while you type the B key (to turn ON Bold)

Type the word or words you want to be in Bold

Hold Ctrl while you type the B key (to turn OFF Bold)

Use Ctrl+B for Bold

Ctrl+I for Italics

Ctrl+U for Underline 

Ctrl+Shift+D = double underline

These are all Toggle Keys, they must be used again to turn the feature off.

You can use more than one for the same word/s. Use Ctrl+B+U for Bold Underlined.

 Try this: CAPS LOCK – BOLD – ITALICS – UNDERLINED – caps lock off

Notice that bold letters take more space than plain (regular) letters

You will notice also that some Fonts appear darker (but not marked Bold) in size 12, others in size 13, others in size 14. Examples: Times New Roman 10, 11, 12, 13, 14, Tahoma 10, 11, 12, 13

A REALLY HANDY SHORTCUT:

If you hold down the Ctrl key and tap the ] key it increases the Font size by one point. If you use the [ key it decreases it one point. It increases or decreases each time you tap the ] or [ key. Much quicker than using the mouse if you decide this Shortcut is useful to you.  

To use this Shortcut on text already typed you would first have to highlight that text.

 

Keyboard Shortcuts 5

When you highlight text – to take off the highlighting you can click an Arrow key NOT any other key!!

If by mistake you DO click another key, your text will disappear. No worry. Use Ctrl+Z to bring it back.

Remember to use your Page Up and Page Down keys instead of mouse scrolling

Remember to use Ctrl+S every now and then to save what you have typed or altered so far

Some of the following actions work without first highlighting so long as the cursor is active somewhere in the line or pragraph. Others need highlighting first.

 

Ctrl+L = align left

Ctrl+R = align right

Ctrl+E = align centre

Ctrl+1 = single line spacing

Ctrl+2 = double line spacing

Ctrl+5 = 1 ½ line spacing

Some of these keyboard shortcuts are listed in the Menus along the top of your screen.

Some of the Function keys at the top of your keyboard are not used a lot but these are some you might like to use.

Some are used on their own.

Some are used together with another key or keys.

 

Here are some you might like to use:

F1 Help

Ctrl+F2 Print Preview

Alt+F4 Close a programme

F7 Spell Check

F12 Save As

Shift+F3 Change case [case = capitals and small letters] on a highlighted word.  Changes case each time used. 

 

Here are two keyboard functions to use instead of using the mouse

1.  Hold the Alt key while you type the underlined letter of a Menu heading

2.  Type the underlined letter of the word you want in the Menu list

Example 1

Alt+F to  open the File Menu.  

Type ‘a’ to bring up the (Save As) dialogue box

 Example 2

 Alt+I to open the (Insert menu)

Type ‘b’ to open a (Break list)

BUT watch out – sometimes Alt plus the underlined letter is needed in the second box.

ESC Key Remember – if a dialogue box you don’t want to use suddenly appears on your screen it will usually disappear if you press the ESC key.

ENTER key This can be used in most cases instead of clicking the mouse on “OK”  or “YES” in dialogue boxes. Or YES, NO, CANCEL boxes.

I hope you find some of these Keyboard shortcuts will save you some energy instead of reaching for the mouse so often.

They can also be quite useful if your mouse suddenly doesn’t work and you have some typing or editing to do.

Pick out the shortcuts you think will be useful in your typing.

 

 

Keyboard Shortcuts 7

Dividing long documents

You may sometimes type a long document which you eventually want to split into smaller documents for easy access.

 

METHOD

First Open your long document and make sure the first words at the top of each section or page to be saved separately are the words you want for the title of that new document.

When scrolling through any document it is handy to use the Arrow keys.

With an Arrow key scroll to where you want to start the new document.

To highlight this section hold down the Left Shift and use your Right hand to Arrow scroll down to where you want to finish.

Release the Shift key and press and hold down the Ctrl key while you:

Type C – to copy

Type N – to open a new document

Type V – to paste the selection into the new document

Release the Ctrl key

Alt+F – for File menu

Type A – to choose Save As

Check the ‘Save in’ box and alter if need be (I save these to the Desktop till I have finished the task)

Alt+S – To Save this as your new document

Ctrl+W – to Close the new document

Your original long document will still be on your screen.

Press an Arrow key to remove the highlighting (if you touch any other key your text will disappear. If this happens, use Ctrl+Z to bring back the text, then press an Arrow key)

Now all you need to do for each new document section or page is to Arrow scroll to the start of the next new starting point and repeat the above process.

I then make a new folder on the desktop and give it the name of the original document then move each of the new documents into that folder.

Open the folder and check that all your new documents are listed.

Open and check each new document. Use Alt+F4 to bring up Print Preview to check your page fit.

You have kept your hands on the keyboard for almost all of the above

When you are satisfied all is as you want it move the folder to whereever you want to save it on your hard drive and/or onto a disk or CD.

NOTE: Highlighting on a Web page is usually only possible by dragging the mouse over the text

Moving around the Desktop and making a Right Click without the Mouse!

Did you know that once you click to highlight any Icon on the Desktop you can move around the other Icons by using the Arrow keys?

You can then, stop when your chosen Icon is highlighted, and press the ENTER key to Open it.

 Instead of a Right Click at any time, you may have a key you could press to bring up that Menu. It should be on the row where the Spacebar is, probably next to the Ctrl key. Some computers have one on the left and one on the right.

A different Right Click menu may appear depending on what type of window is on your screen.

When that menu appears, remember you can type an underlined letter to choose that word.

Examples:

Click the Right Click key then, depending on which box appears, type P to bring up Properties, or F for the Font dialogue box, or even b for Draw table. In the latter example, when you move your cursor it turns into the drawing pencil for you to draw a table. To de-active the ‘draw table’ press the key again and type the b and your cursor will again be the normal active cursor. Experiment – there is so much more.

The Windows Key, also on that bottom row, has many uses as quick ways to do things.

You can bring up the Start menu by pressing the Windows Key then use the arrow keys to scroll through items or type the first letter of a listed word then press Enter to activate. You can close your computer too by pressing the Windows key then the underlined letter in the next two boxes.
